Task Team

Mobile app Updated 2026-11-03

What is this? The Team tab on a task shows everyone attached to that task: who is responsible for it and who is kept informed. You use it to add crew members or outside email addresses to a task, and to see who your organization always notifies.

The Team tab is available on boats with the advanced task features. It appears once a task has been saved.

The Basics

Every task has a team. The team is who sees the task as theirs and who can be notified when the task is created, changed, completed or overdue.

The tab has two lists:

  • Team Members — the people and email addresses attached to the task. The primary assignee is always the last row, shown with a lock. Everyone else can be added or removed.
  • In the Loop — the additional assignees. They are treated like the primary assignee: the task appears in their My Tasks, and they are notified whenever the assignee would be. Below them, with a lock, are the people your organization has said must always be told about task activity.

Rows with a lock cannot be removed here. The primary assignee is changed with Edit. The always-notified people are set by your organization under Organization → Settings → Notifications.

Changes save as you make them. There is no separate Save button for adding or removing people.

Key Things on This Screen

  • Person row — The person’s name with their role on the boat underneath. People who are not crew on this boat show Organization member as their role, and a user number if their name isn’t available yet.
  • Email row — An outside email address that is part of the team. Shown with a mail icon.
  • Lock icon — This row is managed elsewhere and cannot be removed here.
  • Edit (top right) — Changes the primary assignee. While editing, only the assignee field is shown. Tap Save to keep the change or Cancel to leave it.
  • Plus button (bottom right) — Opens two choices: Add to Team and Add to Notifications. On organization boats, Edit, the plus button and swipe-to-delete appear only if your organization lets you edit tasks.
  • Swipe left on a row — Reveals Delete for rows that can be removed.

How to Add Someone to the Team

  1. Tap the plus button and choose Add to Team.
  2. To add a crew member, leave Crew selected, find the person in the list and tap them.
  3. To add an outside email address, tap Email, type the address and tap Add.
  4. The person or address appears in Team Members and the task is saved.

How to Add an Additional Assignee

  1. Tap the plus button and choose Add to Notifications.
  2. Find the crew member in the list and tap them.
  3. They appear in In the Loop. The task now shows in their My Tasks and they are notified like the assignee.

Only crew members can be additional assignees. Email addresses go in Team Members.

How to Change the Primary Assignee

  1. Tap Edit at the top of Team Members.
  2. Choose the crew member in the assignee field.
  3. Tap Save.

On boats with the advanced task features the assignee is changed here. The Schedule tab shows the assignee but does not change it. On other boats the Schedule tab is where the assignee is set.

Tips

  • Your organization’s default team is applied automatically. A task’s team is your organization’s current default team, plus anyone you added to that task and minus anyone you removed from it. If the organization changes its default team, every task picks up the change, including tasks you have edited; your own additions and removals stay in place. On a personal boat, the team is just the person who created the task and the person it is assigned to. If your organization has chosen to leave owner tasks out, a task assigned to the boat’s owner or crew has no organization team.
  • Adding someone sends them nothing right away. They are included from the task’s next event. On an organization’s boat, a team member gets an event’s notice if the organization’s setting for that event names them, names assignees and they are one, or includes one of their roles; email addresses added by hand get nothing. On a personal boat, the whole team (active crew who have accepted) gets every notice, and email addresses added by hand get them too. Discussion messages go to the whole team either way.
  • Removing the assignee from Team Members does not remove them as the assignee. Use Edit to change the assignee.
  • Team changes made on a task are recorded. The task’s Audit Log shows when the team changed and by how many people. A change to your organization’s default team is not recorded in the tasks’ Audit Logs.

Troubleshooting

  • “I don’t see a Team tab.” — The boat does not have the advanced task features, or the task has not been saved yet. Save the task first; the tab appears on existing tasks only.
  • “I can’t remove someone from the list.” — Rows with a lock are managed elsewhere. The primary assignee is changed with Edit. The always-notified people are set by your organization under Organization → Settings → Notifications.
  • “A row says User #1234 instead of a name.” — That person is a member of your organization but not crew on this boat. Their name appears once it is available from your organization.
  • “I added someone but they were not notified.” — They are on the team, but your organization’s notification rule for that event does not include their role. Ask your organization’s administrator to check Organization → Settings → Notifications.
  • “The list changed after I refreshed.” — Your organization updated its default team, or another crew member edited the task. The Team tab always shows the current team.

Frequently Asked

What is the difference between Team Members and In the Loop?

Team Members are the people and addresses attached to the task; whether they are notified depends on your organization's rules. In the Loop are additional assignees. They are treated exactly like the primary assignee: the task is in their My Tasks and they are notified whenever the assignee is.

Can I add an email address to In the Loop?

No. Additional assignees must be crew members. Email addresses belong in Team Members.

Why can't I remove some people?

Locked rows are managed elsewhere. The primary assignee is changed with Edit, and the always-notified people come from your organization's notification rules.

Does the task show in My Tasks for everyone on the team?

No. My Tasks shows tasks where you are the primary assignee or an additional assignee. Team Members do not see the task in My Tasks unless they are also an assignee.

I am the only person on this boat. Do I need the Team tab?

On a personal boat the team is simply you and the assignee. You can still add email addresses so outside people, such as a yard or a contractor, are informed.
