What is this? The record of who changed an item, when, and exactly what changed. Notes, tasks, tickets, engines, equipment, inventory, expenses, readings, maintenance logs, service schedules, trips, crew and the boat’s own details each have their own Audit Log tab. It is read-only and builds itself.
The Audit Log tab on these items appears only when the boat’s subscription includes the Audit Log feature (the Ultimate plan). The Official Log is the exception: its Audit Log tab is always there.
The Basics
Every time an item is added, updated or deleted, YACHTWAVE records an entry: who did it, when, and which fields changed, with the value before and the value after. You never write to the Audit Log yourself, and nobody can edit or remove an entry once it exists.
The Audit Log lives on the item, not in one big list for the whole boat. Open a note and its Audit Log tab shows that note’s history. Open an engine and you see the engine’s history.
Photos, documents, expenses and discussion messages attached to an item are recorded on that item. Adding a photo to a task shows up in the task’s Audit Log as a photo entry, with the photo’s name and type.
Typical reasons to open it:
- A crew member edited something and you want to know what the value was before.
- A task or note disappeared and you want to know who deleted it and when.
- You are preparing the boat for sale or survey and want to show a continuous, multi-user history.
- The insurance company asked who logged a particular change.
This is a transparency log, not a private one. Every crew member who can see the item can see its Audit Log.
Key Things on This Screen
- Entry tile — The date and time of the change, and who made it (“Updated by: …”). The coloured strip on the left shows the action: Add, Update or Delete.
- Arrow, or tap the tile — Opens the details for that entry: each field that changed, with its Previous and New value. For a photo or document, the first line shows which attachment it was.
- Show more (n) — Appears under the list when the item has more history than is shown. The number is how many entries exist in total. Tap it to load the full history, then keep scrolling to load older entries.
- Pull down to refresh — Reloads the list from the server. If you are looking at the recent entries you get the recent entries again. If you have opened the full history you get the full history again.
- Location — Some entries made from a phone carry the place where the change was made. When present it appears in the entry’s details.
How to See What Changed in an Item
- Open the item (for example a Note).
- Tap the Audit Log tab.
- Tap the entry you are interested in, or its arrow. Each changed field is listed with its Previous and New value.
- If the entry you want is older than the ones shown, tap Show more and scroll down.
Tips
- Only the most recent entries are shown at first. That keeps the app fast. Tap Show more when you need the rest.
- An Add entry lists the values the item was created with. There is no Previous value on an Add, because nothing existed before it.
- A Delete entry is always the last one. Once an item is deleted nothing else is recorded for it unless it is restored.
- Saving without changing anything records nothing. Reordering items records nothing either. If you see no new entry after a save, it is because nothing actually changed.
- The Audit Log records what, not why. For the reason behind a change, ask the crew member or check the Official Log.
Troubleshooting
- “I don’t see an Audit Log tab.” — The boat’s subscription does not include the Audit Log feature (the Official Log’s tab is always shown). The Audit Log is part of the Ultimate plan. On an expense, the tab also appears only after the expense is saved. Check the boat’s edition under Subscription & licensing.
- “The tab says ‘No changes recorded yet.’“ — The item has no history yet. On some item types the Audit Log started recording with this release, so older changes made before then do not appear.
- “An entry shows the action and the person but nothing to open.” — Older entries recorded only that something changed, not which fields. Newer entries carry the full detail.
- “I made a change but it isn’t in the list.” — Pull down to refresh. Changes need a connection; offline, YACHTWAVE is view-only.
- “I want to delete an audit entry.” — Not possible, by design. The Audit Log is append-only. Its value is that it cannot be changed.
Frequently Asked
Is there one Audit Log for the whole boat?
No. Each item has its own Audit Log tab. Open the item to see its history.
Who can see the Audit Log?
Anyone who can see the item. Removing a crew member from the boat stops them from making changes, but the entries they made stay in the log.
Why does a photo I added show up on the task's Audit Log?
Photos, documents, expenses and discussion messages belong to the item they are attached to, so their history is recorded on that item.
Are deleted items recoverable from the Audit Log?
The Audit Log shows that an item was deleted, by whom and when, but it does not restore the item. If you need data recovered, email [email protected] promptly.
Why does a change made on the website show no location?
Only changes made from the mobile app carry a location, and only when the app had permission to use it.
